Chalk Safe Privacy Policy

This policy explains what information Chalk Safe collects, how it is used, and how it is protected. Chalk Safe is a safety observation platform provided by Chalk Solutions LLC ("Chalk Solutions," "we," "us") for use by our business customers ("your organization") and their employees. Chalk Safe is a workplace tool — it is deployed by an employer for its own employees, not offered directly to individual consumers.
Information We Collect
- Account information. When you sign in, we receive your name, email address, and organizational identity from your employer's Microsoft Entra ID (Azure Active Directory) — the same account your employer already uses for email and other workplace systems. We do not see or store your password.
- Safety observation data. Information entered into the app as part of normal safety-observation workflows: observation records, question responses, comments, locations, and form types. Depending on how your organization uses the app, this may include the name or employee ID of the person being observed.
- Employee directory data. If your organization syncs its employee roster into Chalk Safe, we store employee name, job title, department, and work location as provided by your organization's HR system.
- Diagnostic information. We use crash and performance monitoring to identify and fix technical problems. This does not include your name, email, or account identity.
- Local device storage (mobile app only). Observations you submit while offline are temporarily stored on your device and automatically uploaded once you're back online.
How We Use Information
- To operate the Chalk Safe platform and authenticate your access to it.
- To let your organization run and administer its own safety observation program.
- To generate reports and dashboards for your organization's own managers and administrators.
- To diagnose, fix, and prevent technical problems.
- To maintain a security audit trail of account and permission changes within your organization.
How We Share Information
We do not sell your information. Data your organization enters into Chalk Safe is visible only within your own organization — it is never shared with, or visible to, other organizations using the platform. We use the following service providers to operate Chalk Safe, each of which processes data only on our behalf and under contractual restrictions on how they may use it:
- Microsoft Azure — cloud hosting, database storage, and Microsoft Entra ID authentication.
- Sentry — crash and error diagnostics.
Data Security
- Data is encrypted in transit and at rest.
- Sign-in is handled entirely through your organization's own Microsoft Entra ID — we never store passwords.
- Access within the app is controlled by role (e.g. observer, manager, administrator), managed by your organization's own administrators.
- Account and permission changes are recorded in an append-only audit log for security review.
Data Retention
We retain your organization's data for as long as your organization's Chalk Safe account is active, or as required by your organization's own record-keeping obligations. To request deletion or export of data, contact your organization's Chalk Safe administrator, or reach us directly using the information below.
Children's Privacy
Chalk Safe is a workplace tool intended for use by adult employees of our business customers. It is not directed at, and we do not knowingly collect information from, children.

We may update this policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision.
